Note: The "Equivalent Hours" figure represents the total straight-time hours a day rate pays for. For example, a 10-hour day with OT after 8 hours pays for 8 regular hours plus 2 hours at 1.5x (which equals 3 regular hours). Therefore, a 10-hour guarantee pays 11 equivalent straight-time hours. Convert a Crew Day Rate Into the Hourly Rate It Actually Contains

A film or studio crew day rate is not always a simple daily figure divided by the number of guaranteed hours. When overtime is already built into the guarantee, part of that day rate represents straight time and part represents overtime-weighted pay.

The Day Rate to Hourly Converter works in both directions. It converts a negotiated Day Rate into its underlying Base Hourly Rate, or starts with an hourly rate and shows equivalent day rates for common day lengths. It can also price an actual long day using overtime and double-time rules.

The calculator focuses on one person’s rate. It does not estimate the total cost of an entire crew across a production. Overtime requirements can vary by jurisdiction, union agreement, collective bargaining agreement, employment status, and contract, so use the rules that actually apply to the engagement.

Why a 10-Hour Day Rate Is Not Simply Divided by 10

The key concept is Equivalent Hours in the Day Rate.

Suppose a $650 day rate guarantees 10 hours, with overtime beginning after eight hours at 1.5 times the base hourly rate. The guarantee contains eight hours of straight time plus two overtime hours.

Those two overtime hours are worth three straight-time-equivalent hours:

8 regular hours + (2 overtime hours × 1.5) = 11 equivalent hours

The underlying hourly rate is therefore calculated by dividing the day rate by 11, not 10.

This distinction matters when comparing offers, calculating overtime, converting an hourly quote into a day rate, or checking what a long production day should pay under the entered rules.

The day rate is also treated as a minimum guarantee. If the crew member works fewer hours than the guaranteed day, the calculator does not reduce payment below the agreed day rate.

How to Use the Day Rate to Hourly Converter

Start by selecting the conversion direction, then enter the guarantee and overtime rules that apply to the rate.

Choose the Conversion Direction

Set Conversion Direction to Day rate to hourly when you have an agreed daily figure and want to determine the underlying straight-time rate.

Enter Day Rate as the agreed guaranteed amount.

Choose Hourly to day rate when you already know Base Hourly Rate and want to see equivalent day rates using the same overtime structure.

The two directions use the same underlying pay logic, so there is no need to treat them as separate rate systems.

Enter the Guaranteed Day Structure

Use Guaranteed Hours in the Day Rate for the number of hours the daily guarantee is intended to cover. The default is 10 hours.

Enter Hours Before Overtime for the straight-time threshold. The default is eight hours.

Set Overtime Multiplier to the applicable multiplier after that threshold. The default is 1.5.

Enter Hours Before Double Time for the point at which double time begins. The default is 12 hours, with Double Time Multiplier set to 2.0.

These are editable planning assumptions. They should be changed where the applicable contract, union rule, company policy, or employment law uses a different structure.

Enter the Actual Hours Worked

Use Actual Hours Worked for the real length of the day.

The calculator breaks that day into regular, overtime, and double-time hours. It then calculates Total Paid for the Actual Day, subject to the original day-rate guarantee remaining the minimum payment.

This lets you see not only the hourly rate hidden inside the guarantee, but also what happens when the day runs beyond it.

Understanding the Day Rate Conversion

The calculator first converts the guaranteed day into overtime-weighted equivalent hours.

Equivalent Hours and Base Hourly Rate

Guaranteed regular hours are:

Guaranteed regular hours = MIN(Guaranteed hours, Overtime threshold)

Guaranteed overtime hours are:

Guaranteed overtime hours = MAX(0, MIN(Guaranteed hours, Double-time threshold) – Overtime threshold)

Guaranteed double-time hours are:

Guaranteed double-time hours = MAX(0, Guaranteed hours – Double-time threshold)

The weighted total is:

Equivalent hours = Regular hours + (Overtime hours × OT multiplier) + (Double-time hours × DOT multiplier)

For Day rate to hourly mode:

Base hourly rate = Day rate ÷ Equivalent hours

The overtime and double-time rates then follow directly:

Overtime hourly rate = Base hourly rate × Overtime multiplier

Double-time hourly rate = Base hourly rate × Double-time multiplier

Total Paid for the Actual Day

The calculator separately breaks the actual workday into regular, overtime, and double-time hours.

Total calculated pay = Regular pay + Overtime pay + Double-time pay

It then applies the guarantee:

Total paid = MAX(Total calculated pay, Day rate)

This is important. A guaranteed day rate is a floor in this calculator. If a 10-hour guarantee finishes after seven hours, the calculator still returns the full guaranteed day rate rather than seven hours of straight-time pay.

Overage Above Day Rate is:

Overage = Total paid – Day rate

The calculator also expresses that overage as a percentage of the original day rate.

Effective Hourly Rate and Rate Ladder

Effective Hourly Rate shows what the person earned per actual hour worked:

Effective hourly rate = Total paid ÷ Actual hours worked

This is different from Base Hourly Rate. The base rate is the straight-time rate used to build the pay structure. The effective rate divides actual total compensation by the real day length.

In reverse mode, the Rate Ladder shows equivalent day rates at eight, 10, 12, and 14 hours.

For the default rules:

8-hour day rate = Base hourly × 8

10-hour day rate = Base hourly × (8 + 2 × OT multiplier)

12-hour day rate = Base hourly × (8 + 4 × OT multiplier)

14-hour day rate = Base hourly × (8 + 4 × OT multiplier + 2 × DOT multiplier)

The table presents Day Length, Equivalent Hours, Day Rate, and Effective Hourly so different offers can be compared consistently.

Day Rate to Hourly Conversion Example

Consider a crew member on a $650 day rate with a 10-hour guarantee.

Overtime starts after eight hours at 1.5 times base rate. Double time starts after 12 hours at twice the base rate.

The 10-hour guarantee contains eight regular hours and two overtime hours.

Equivalent hours = 8 + (2 × 1.5) = 11

The underlying base hourly rate is:

$650 ÷ 11 = $59.09 per hour

The overtime rate is:

$59.09 × 1.5 = $88.64 per hour

The double-time rate is:

$59.09 × 2 = $118.18 per hour

Now assume the actual day runs 13 hours.

That creates eight regular hours, four overtime hours, and one double-time hour.

The resulting total pay is approximately $945.45.

Compared with the original $650 guarantee:

$945.45 – $650 = $295.45 overage

That is approximately 45.5 percent above the day rate.

The effective hourly rate for the 13-hour day is:

$945.45 ÷ 13 = approximately $72.73 per hour

Because the overage exceeds 30 percent, the calculator labels the result Heavy Overage.

Starting with the same $59.09 base hourly rate in reverse mode produces approximately $472.73 for eight hours, $650.00 for 10 hours, $827.27 for 12 hours, and $1,063.64 for 14 hours.

That side-by-side ladder makes it easier to compare offers that use different guaranteed day lengths.

Use the Conversion to Compare Crew Rates Properly

A day rate can look higher or lower simply because it contains a different guarantee. Comparing a 10-hour day rate with an eight-hour day rate without converting both to the same base structure can be misleading.

Use Base Hourly Rate when comparing the underlying straight-time value of different offers. Use the Rate Ladder when a producer, crew member, or studio needs to see how the same base rate behaves across different day lengths.

Also watch repeated overages. One 13-hour day may be manageable, but recurring long days can materially change the real cost and effective structure of the agreement.

The calculator labels zero overage as Within Guarantee, an overage below 30 percent as Moderate Overage, and anything above 30 percent as Heavy Overage.

These are operational indicators, not legal classifications. Actual pay obligations should follow the applicable contract, union terms, employment agreement, and local wage rules.

Why do you divide a 10-hour day rate by 11 instead of 10?

With the default rules, the 10-hour guarantee contains eight straight-time hours plus two hours at 1.5 times base rate. Those two overtime hours equal three straight-time-equivalent hours, producing 11 equivalent hours in total.

What happens if the crew member works less than the guarantee?

The day rate remains the minimum payment in this calculator. A shorter actual day does not reduce Total Paid below the entered Day Rate.

What is the difference between Base Hourly Rate and Effective Hourly Rate?

Base Hourly Rate is the straight-time rate underlying the guarantee. Effective Hourly Rate is total actual pay divided by the actual number of hours worked.

Does this calculator estimate total crew cost for a production?

No. It converts and analyzes one person’s rate. Full-production crew budgeting requires crew count, roles, number of days, fringes, and other production-level assumptions.

Why can a long day cost much more than the original day rate?

Hours beyond the guarantee may fall into overtime or double time. Once those multipliers apply, each additional hour can cost substantially more than a straight-time hour.

How often should I recalculate the rate?

Recalculate whenever the agreed day rate, guaranteed hours, overtime thresholds, multipliers, or actual day length changes.
