Booking coordinators, reception teams, studio managers, operations staff, room technicians, equipment teams, producers, and client service staff should use this checklist whenever a client enters and leaves under a confirmed studio booking.

Records to Keep

Keep the booking reference, client contact, attendee list, arrival and departure times, session start and finish times, access credentials, room handover, equipment handover, client-supplied equipment, opening and closing condition records, photographs, actual resource usage, extensions, incidents, client acknowledgement, billing handover, open actions, and final booking status.

Final Readiness Check

The studio booking is ready to close when:

✓ The client, booking, attendees, and approved access are verified
✓ Arrival, session, finish, and departure times are recorded
✓ Room and equipment handovers are documented
✓ Studio and client property are accounted for
✓ Actual resource usage and approved additions are recorded
✓ Damage, missing items, and incidents are assigned for review
✓ Client access is closed and the room is transferred to turnover
✓ Financial records and follow-up actions have clear owners
✓ The booking has been moved into the correct final status

Keep Check-In and Check-Out Consistent

Use the same arrival, access, room condition, equipment, timing, usage, and departure controls for every client booking, including returning clients and short sessions.
